Sequential Numbering

Individual journals are defined with a number, this can be entered manually, or automatically using sequential numbering. The last sequential number is held in the system key NLLASTJRN. You can force the use of sequential numbers by setting the system key NLSEQJRN to YES.

Note: standard journals must be prefix with the letter T, so automatic numbering cannot be used.

Opening Journals

These journals are entered using 0 for opening balance in the year indicator. The posting code needs to be a "B" type.

Normal Journals

Journals are used to directly enter and post transactions to the General Ledger. Each journal is identified by a number which is either entered manually or generated automatically. The transaction date of the journal can be post, present or future.

Recurring Journals

These are used for transactions that will be the same every month. Examples of a recurrent transaction is rent or vehicle leasing. These journals, once set up, will post automatically into the General Ledger during the first batch posting of the month.

Reversing Journals

Reversing journals are used to post prepayments and accruals to the General Ledger. A reversing entry is created automatically when the first batch posting of the period has been run. Reversing journals can be posted to the adjustment period, in which case they will post and reverse at the same time.

Standard Journals

Standard Journals can be set up for journals which are similar and to be posted to the same accounts. They do not post to the General Ledger but act like "template" journals which can be used to create normal, recurring or reversing journals. When a normal or reversing journal is created from a standard journal, the details of the standard journal are copied across to the normal journal. Amendments can then be made to the copied journal if required. This saves time keying in similar details for posting into the General Ledger. Standard journal lines should be entered in exactly the same way as a normal journal.

Adjustment Journals

These journals are entered in the same way as normal journals, except they will be posted to the adjustment period.

Suspended Journals

You can suspend journals that have been entered from within the General Ledger so that it is withheld from the batch posting run. Suspended journals are also created if a transaction batch within Accounts Receivable, Accounts Payable or Cash Management has not posted to the General Ledger for some reason, for example, if a currency code had not been set up properly. These suspended journals can then be amended in the usual way.

Posting Journals

As journals are entered individually, they can also be posted individually, immediately after they have been entered.

However, you will be forced to run the first batch posting of each month before any direct postings can be made. This is to ensure that all reversing and recurring journals have been posted for the period.
